Tretti is an e-commerce company that has been selling white goods online for 13 years. The company is mostly active in Sweden, but has also expanded to the Nordic market. For this reason, Tretti has a large number of suppliers from many countries that sell their products via Tretti’s website. Since they started to use Pagero’s services in 2016, Tretti has been able to streamline their inbound e-invoice flow and also to get many of their suppliers to begin with e-invoicing with the help of Pagero’s activation project.

E-invoicing to become more efficient

“We have a group of purchasers that are working on initiating new partnerships and who are also handling our current suppliers,” says Björn Fant, Head of Development at Tretti/Whiteaway. “In addition to this, our finance department makes sure all purchases are matched to our invoices. We receive a rather large number of invoices from companies that are vastly different form each other. They are of various sizes and based in different countries.”

“Before we started to cooperate with Pagero, we had an invoice solution that required a lot of manual handling. The solution included invoice scanning and to a certain extent also inbound PDF invoices. But there were still many tasks that had to be done manually, and we felt that the process could be made more efficient. Moreover, receiving invoices like that is not a flawless process. Manual errors occur when invoices are scanned, and the scanner can also interpret numbers wrongly. Therefore, we felt the need to switch to some kind of EDI-solution instead. Our scanning service provider offered an EDI-solution that they wanted us to try, but since EDI was not their main area of expertise, it did not quite work properly. We terminated the project, and then I started to look into other alternatives. That is when we came in touch with Pagero.”

Implementation with supplier activation

Tretti decided to switch to Pagero’s e-invoice solution after attending one of their seminars. “During the implementation process, we also carried out a supplier activation project together with Pagero, to try to get as many of our suppliers as possible to start e-invoicing. Pagero handled more or less everything during the project―from sending letters to our suppliers to taking care of technical support. I think it worked very well. We also received reports at regular intervals regarding which suppliers that had decided to come onboard, which was great feedback. The report listed, among other things, which suppliers had begun but not yet completed the implementation process. It was very nice to be able to get an insight like this into the project.”

“The response from our suppliers has been slightly mixed. Many of them have come onboard, and they have not experienced any problems with Pagero. Some suppliers asked why it was Pagero, and not Tretti, that contacted them, but after we talked to them and explained matters further, there have not been any more issues. I am not sure how many suppliers decided to start e-invoicing in the end, but we had a list of 70 suppliers and at least half of decided to join us, which we think is very good.”

Connecting to foreign suppliers

“Most of our foreign suppliers have some type of Scandinavian office that we usually buy our products from. That makes it a relatively pain-free process to receive invoices from foreign suppliers. Additionally, the majority use one of the most common EDI-formats available, which is then converted into one single format before it is delivered to us. There has not really been any difference between Swedish companies and companies from other Scandinavian countries, which is very convenient.”

Changing financial systems

“We were acquired by a business group last year, and in the new group, all the subsidiaries’ accounting is handled in the same place. We have also moved our invoice flow from our system to the group’s joint system. The process of moving the flow and making everything work went very smoothly with the help of Pagero.”

“The largest benefit of using Pagero’s services is that their system, Pagero Online, makes it possible for us to receive invoices in various formats, which are then converted into the format we need for it to suit our financial system. We have saved much time by not having to worry about many different EDI-formats. We have also saved quite a lot of time on not having to do manual tasks such as invoice scanning. The flow is more automated already and will become even more automated in the new financial system, which has different rules for handling EDI-files. We had a quite restrictive policy at Tretti before, and much needed to be approved manually. Everything is matched automatically now and the invoices just zooms through the system.”

“Our connection with Pagero’s different departments, and especially our Project Manager, was very good during the supplier activation project. I think the project was handled very professionally. Pagero is easy to work with, and the implementation process went very smoothly, which was nice. No manual tweaking was necessary, and there were very few things I had to do for the project to become a success. I would recommend Pagero as a service provider”, says Björn Fant.
